Lesson 24 - Funnel Chart in Power BI Desktop

A Funnel chart in Power BI is used to visualize a linear process with sequential and connected stages. It helps show how values change as they move from one stage of a process to another.

Funnel charts are commonly used to analyze processes such as sales pipelines, lead conversion, recruitment stages, and other workflows where values may decrease between stages. They can also help identify significant changes or drop-offs in a process.

How to proceed?


Step 1 Import the Data

Launch Power BI Desktop, create a new report page, and import the required data.



Step 2 Add a Funnel Chart

From the Visualizations pane, select the Funnel chart visual.



Step 3 Add Fields to the Funnel Chart

Add the required fields to the appropriate field wells in the Build visual pane:

Category – Sport
Values – Number of Participants

The Category field defines the categories displayed in the Funnel chart.

In this example, Sport is added to the Category field.

The Values field specifies the numerical value associated with each category.

In this example, Number of Participants is added to Values to compare participant counts across different sports.

Microsoft's current Funnel visual uses Category and Values field wells.


Step 4 Apply Filters

Filters allow you to focus on specific data displayed in the Funnel chart.

In this example, a Top N filter is applied to the Sport field and the Bottom option is selected to display the bottom seven sports based on the number of participants.

The By value field specifies the measure or numerical value used to rank the categories.

In this example, Number of Participants is used as the By value field to identify the seven sports with the lowest participant counts.

Step 5 Customize the Funnel Chart

Colors

The Colors settings allow you to customize the colors used for the sections displayed in the Funnel chart.

Using appropriate colors can help distinguish the categories or stages displayed in the visual.

Data Labels

Data labels display the numerical values associated with the categories or stages in the Funnel chart.

You can customize the available formatting settings such as font, color, background, and position.

In this example, the data labels are displayed at the Inside center position.

 Category Labels

Category labels display the names of the categories or stages represented in the Funnel chart.

You can customize the available font and color settings to improve the readability of the labels.

Depending on the visual layout and available formatting settings, category labels can also be turned off when a cleaner visual is required.

Conversion Rate Information

A Power BI Funnel chart can provide conversion information when you hover over a stage. The tooltip can show the stage name, stage value, overall conversion rate, and the percentage compared with the previous stage, also described as the stage-to-stage value or drop rate.


Step 6 Save the Visual


Finally, your Funnel chart is ready. Save the Power BI report to preserve the visual and its formatting.





When to use Funnel Chart?


Funnel charts are useful when you want to track and analyze data across sequential and connected stages of a process.

They are commonly used for sales pipelines, lead conversion, recruitment processes, and other workflows where values move through multiple stages. Funnel charts can help identify significant changes and potential drop-offs between stages.
